Privacy Policy
Effective date: September 28, 2026
This Privacy Policy explains how TaxOfficeHub (“TaxOfficeHub”, “we”, “us”) collects, uses and shares information through the online portal at taxofficehub.com (the “Portal”). The Portal is used by tax preparation service bureaus and the service bureaus and tax offices that file through them.
1. Information We Collect
Account and business details: your name, business name, email address, phone and mobile number, EFIN, the tax software you use and the service bureau you work under. Most of this is provided by the service bureau that invited you; you can confirm or update it in the Portal.
Fees and agreements: the fees your service bureau sets for you, the agreements you sign, and the record of each signature — your typed name, the signature you draw, the date and time, your IP address and the agreement version.
Support tickets and messages: what you write in tickets and replies, and any details you include.
Forms and documents: information and files you submit through forms in the Portal, such as business details, EFIN letters, identification documents and signed requests.
Technical information: sign-in times, your IP address, and the cookies needed to keep you signed in and to protect the Portal. We do not use advertising cookies.
2. How We Use Information
We use information to create and secure your account; show you your fees and agreements and record your signature; route and answer support tickets; process the forms you submit; send you account, service and support messages by email and, if you give a mobile number, by text; keep the Portal secure and prevent fraud; and meet our legal obligations.
We do not sell your personal information, and we do not use it for advertising.
3. How We Share Information
With your service bureau: the service bureau that invited you, and the service bureau above it where one exists, can see your account details, fees, agreements, tickets and form submissions, because they provide your service.
With service providers: companies that help us operate the Portal and deliver the services you request — for example support and onboarding providers, website hosting, email delivery and text messaging. They may use the information only to provide those services to us, and must protect it.
With software and bank partners: where needed to set up your software or bank products, as part of the services you request.
For legal reasons: when required by law, subpoena or other legal process, or when needed to protect the rights, safety or security of TaxOfficeHub, our users or others, including cooperating with the IRS and state tax agencies.
In a business transfer: if TaxOfficeHub is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy.
4. Text Messages
If you give a mobile number, you may receive account and service texts, such as form links and reminders. Message and data rates may apply. Reply STOP to stop receiving texts, or HELP for help. We do not share mobile numbers with third parties for their marketing.
5. How Long We Keep Information
We keep information for as long as your account is active and as long as needed to provide the services, keep required business and tax records, resolve disputes and meet legal obligations. Signed agreements and signature records are kept for as long as they may be needed as proof of the agreement. Identification documents submitted through forms are removed once they have been passed on for processing.
6. Security
We protect information with measures such as encrypted connections, restricted access and secure storage of signed agreements outside public web folders. No system is completely secure, so please keep your password safe and tell your service bureau right away if you suspect your account has been used without your permission.
7. Your Choices
You can review and update your account details in the Portal under My Account, or ask your service bureau to update them. You can ask us about the personal information we hold about you, or ask us to correct or delete it, by writing to the address below; some information must be kept to meet legal or record-keeping obligations. You can opt out of text messages at any time by replying STOP.
8. Children
The Portal is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The effective date above shows when it last changed. If we make significant changes, we will let you know through the Portal or by email.
